Replace Project Status Meetings with Something Better

Posted by  Martijn van der Hoeden

How much time do you spend in project status meetings? You must stay on top of everything that's going on so you don't fall prey to scope creep, but productivity decreases when key staff members get pulled away from what they're working on. Thankfully, you have another way of doing things.

Automated Alerts

Automation frees up your time and allows you to focus on tasks that need your full attention. You can set up alerts based on the criteria most important to the project's success.

For example, you can get an alert when the team puts together certain deliverables or has gone too many days past a set deadline or booked more hours than is budgeted. You don't have to pull everyone into a meeting to find out whether these situations have occurred. Instead, a self-driving PSA such as Unit4's notifies you when you need to focus on these areas.

Another way to use alerts is to receive notifications when someone comments on a file or task in your project management solution. You don't need to manually refresh these pages or dig through your email to find someone's question. Instead, you can check-in when the tool lets you know that there's something that needs to be looked at.

KPI Dashboard

You can also use key performance indicators to tie your alerts to quantifiable metrics, as well as gaining insights into how well the project is going. A KPI dashboard gives you the flexibility to look at the work from a top-down view or more granular levels.

The advantages to having access to this dashboard include seeing red flags that indicate the project is about to go off track, observing the team's performance without pulling them away from work, and being able to make adjustments on the fly.

Nobody wants to waste their time in a status meeting when they could get ahead on their task list. The combination of automated alerts and a KPI dashboard helps you eliminate inefficiencies in your project management processes. Want to know how you can boost your performances and what you need to replace all those time-consuming project status meetings?
