How Unit4 helps public sector organizations to transform and grow

from  June 9, 2022 | 4 min read

The successful management of public sector organizations depends on their ability to run efficiently, maximize resource utilization, and adapt for the future. Public sector organizations are among the most complex and diverse, delivering a bewildering array of services, and recently escalating expectations and dwindling budgets have posed a huge threat to service quality. To succeed, service providers must challenge their own status quo and take advantage of new technologies to drive productivity and boost operational efficiency.

Unit4 offers people-centric solutions that are purpose built for public sector organizations. Your leaders can now better manage your organization with industry-leading software for Enterprise Resource Planning (ERP), Human Capital Management (HCM), and Financial Planning & Analysis (FP&A) solutions.

So, if you want your public sector organization to thrive in today’s challenging business arena, then you can’t afford to ignore the negative impact that outdated legacy systems have on productivity and People Experience.

Let’s take a look at some of our customers’ stories:

City of Port Coquitlam

With over 60,000 citizens, the City of Port Coquitlam is a growing municipality and public sector organization in Canada that has become known for its high citizen engagement, partly due to its use of innovative technology. The city found that its overstretched IT teams were being diverted from necessary core functions to the frustrating tasks of infrastructure maintenance and data security. They faced the high costs of maintaining private data storage infrastructure, and it was becoming more of a challenge to equip staff to optimize the system.

A switch to Unit4’s ERP on the Microsoft platform provides trust and comfort with an intuitive ERP product that has greatly improved insight into financial operations. Unit4 provided specialists to run the software, maintain all the technical operations, and conduct upgrades with 24/7 support. The system was easily integrated with other software, including other cloud solutions. As a growing city, Port Coquitlam needed upgraded capabilities to increase automation and efficiencies. They have now shifted away from time-consuming manual and paper-based processes to an agile, flexible, and automated system, providing an even more exceptional citizen experience.

The city has now made resource savings with fewer IT people needed to manage both the infrastructure and Unit4 ERP itself, meaning cost savings on recruitment and training. They have fewer concerns over security and compliance, knowing Cloud backup security and data accessibility have been improved, and they have guaranteed compliance with data security laws. They are also benefiting from ceaseless innovation as the latest version of Unit4 ERP means instant new functionalities and features that are introduced organically and regularly.

“Having Unit4 ERP on the cloud has been a very positive change for the city. We have reduced our costs, improved our security, and greatly increased our insight and understanding of the financial operations and costs.” Robin Wishart, Director of Corporate, City of Port Coquitlam Support

Southampton City Council

Southampton City Council is a unitary authority in England that is adopting modern digital services as a key element in streamlining service delivery, enhancing the citizen experience, and maximizing efficiency.

With 254,000 citizens, Southampton City Council is a local government organization operating more than 400 services, with citizens regularly crossing over from housing to leisure to social and other services. Until recently, much of the data underpinning these services was locked in separate, fragmented silos, undermining the opportunity to deliver joined-up, value-based service.

But with digitization comes lots of data. So, the council was looking for a complete, connected ERP cloud suite spanning finance, procurement, HR, payroll, and more. Unit4 was able to provide them with the software solutions they needed that were intuitive to use, automated routine tasks, and provided the timely, graphic insights to make faster, more informed decisions. Their citizens now benefit from digital self-service, faster joined-up support to enquiries, and improved value for money.

The agile and adaptive cloud model drives improved collaboration and increased resilience. The unified HR and payroll systems have saved them 500 hours of staff time and £80,000 in costs annually, and the smarter finance software has provided a single record of finance shared by all stakeholders, making finance a business partner.

“Unit4 is making the council smarter and more agile. By automating and streamlining processes in the cloud, as well as introducing self-service, Southampton City Council can direct more resources to front-line services.” Helen Baker, ERP Support and Development Manager, Southampton City Council

Forrest Research

Forest Research is the UK's principal provider of tree-related research. Internationally they are renowned for the research they do to support sustainable forestry and protecting habitats and biodiversity. Action is now needed for their primary mission to protect the UK's forests from a fast-growing number of threats. To achieve this, they're rethinking how they tackle this problem and using technology to free people to focus on the work that matters most.

Unit4 partnered with Myriad Consulting to deliver a new finance, fixed assets, and HR solution for Forest Research. Before this, they had been working on a third-party shared environment, which led to separate silos of data, fragmented knowledge, and delayed decision making. Having a standardized, intuitive, and unified finance and HR ERP platform puts the right information into the hands of the right people right when it is needed, which has revolutionized their operations.

The forward-thinking software comprises a comprehensive finance and HR platform that includes general ledger, accounts payable and receivable, procurement, sales orders, projects, billing, pricing, staff absence, timesheets, and a people resource planner. This single integrated view provides Forest Research with a powerful tool for growth and accountability. The team can harness meaningful insights to transform their workplace.

The organization has now been able to eliminate most of its outdated systems, create a digital culture, boost staff adoption, pay 99% of suppliers within ten days, and deliver real-time financial monitoring capabilities.

“It is essential that we have a single source of finance and HR truth. The management information that provides enables us to be more confident in our decisions, consistently hit financial targets, and drive a great employee experience. I absolutely love Unit4.
