Before ERPx, key financial processes, such as purchase-to-pay and sales-to-cash, lacked visibility and had limited end-to-end control. Manual data administration was extensive, and accuracy was inconsistent.

“A lot of time and financial resources were devoted to administering data,” says Jurriën Westhoek, Head of Finance at Gemeente Delft. “The numbers were not always accurate, so we were continually correcting the data. Plus, there were delays, which meant the data was often stale by the time it was available.”

Reporting presented similar challenges. With no central framework for financial insights, budget managers often built their own interpretations of the numbers. As Kim Zwarts of KZ Consultancy, who guided the ERPx deployment, explains:

“There was very little control over the reporting, so budget managers would frequently create their own budget reports that didn’t align with other reports. People didn’t speak the same language. This undermined Gemeente Delft’s ability to make trusted, data-driven decisions.”

“A budget manager can click on the dashboards we built in ERPx and see all the relevant details,” says Zwarts. “They also have a granular view, right down to individual invoices.”

If new projects arise or unexpected events affect spending, managers receive alerts and can immediately adjust forecasts based on real-time information. This responsiveness is critical in today’s dynamic public sector environment.

And with seamless integration into as many as 25 systems, including HR, Delft benefits from an ecosystem that adapts to change rather than complicating it.
