How the University of East Anglia Strengthened Compliance, Visibility, and Efficiency with Unit4’s Source to Contract Solutions

Higher education institutions are under increasing pressure to manage spend more effectively, strengthen compliance, and deliver more value with fewer resources. With new procurement regulations coming into force in early 2025, the need for transparent, auditable, and efficient contract and spend management has never been greater.

In our recent webinar with the University of East Anglia (UEA), we explored how the institution is using Unit4’s Contract Management solution, part of the Source‑to‑Contract (S2C) suite, to improve visibility, reduce risk, and streamline procurement operations. Joined by Jason Bird (Finance Systems Business Partner) and Christian Cornell (Associate Contracts Manager), we discussed their journey, the challenges they faced, and the tangible benefits they’re already seeing.

Why Contract Management Matters

As Christian highlighted early in the session, the sector is facing a perfect storm of:

  • New procurement regulations requiring greater transparency

  • Increasing financial pressure across higher education

  • Growing expectations around compliance and auditability

  • Demand for efficiency across procurement and finance teams

For UEA, the challenge was clear: their contract management process was entirely manual, relying on spreadsheets and user‑maintained data. This created several risks:

  • No consistent visibility of contract status
  • Unknown or missed expiry dates
  • Unmanaged overspend
  • Difficulty tracking obligations and renewals
  • Limited ability to report or forecast

As Christian put it, “It was almost impossible to consistently and efficiently manage contracts.”

Implementing Unit4 Contract Management: A Practical, Collaborative Journey

UEA already used Unit4 ERP, but contract management lived outside the system. Bringing it into the S2C platform offered an opportunity to centralize, standardize, and automate.

Jason explained that implementation was straightforward, with Unit4 providing strong support throughout. The main effort for UEA involved:

  • Reviewing existing processes

  • Cleaning and preparing contract data

  • Working with Unit4 to build templates

  • Testing and validating workflows

“Unit4 were incredibly accommodating to our requirements,” Jason shared. “We had regular catch‑ups, lots of testing, and not a massive amount of work from our side.”

The Benefits: Visibility, Control, and Compliance

With Contract Management now live, UEA has transformed how it manages its supplier relationships and obligations.

1. Complete visibility of all contracts

UEA now has a single source of truth for every contract - active, draft, expired, or archived. Users can tailor views, filter by status, and quickly find what they need.

2. Automated alerts and renewal tracking

No more missed expiry dates or last‑minute renewals. The system notifies the right people at the right time.

3. Streamlined approvals and workflows

Approvals are now standardized, auditable, and fully traceable.

4. Integrated e‑signature capabilities

UEA can create signature envelopes directly in the application, track progress, and automatically store completion certificates.

5. Full version control and audit trails

Every change is logged, ensuring compliance with new procurement regulations.

6. Reduced risk of overspend

With clear visibility of contract terms and obligations, procurement can better manage spend and avoid unplanned costs.

Looking Ahead: The Power of Spend Analytics

While Contract Management has already delivered significant value, UEA is eager to expand into Spend Analytics, another key component of Unit4’s S2C suite.

Christian explained the challenge clearly:

When I get asked how much we spent on a particular item, we’re relying on users to have input the correct data in ERP. Spend Analytics would give procurement the power to manage spend quicker and more efficiently.

With higher education funding under pressure, the ability to analyze spend patterns, identify savings opportunities, and improve forecasting will be increasingly important.

Q&A Highlights: Advice for Peers

During the Q&A, Jason and Christian shared practical recommendations for institutions considering a similar journey:

Start with data clarity

Clean, structured data makes implementation smoother and ensures long‑term success.

Engage stakeholders early

Procurement, finance, and contract owners all play a role.

Don’t underestimate the value of visibility

Even small improvements in oversight can prevent costly oversights.

Lean on Unit4’s expertise

UEA emphasized the value of collaborative workshops, regular check‑ins, and guided testing.

Final Thoughts

UEA’s experience shows how modern contract and spend management tools can help higher education institutions strengthen compliance, reduce risk, and unlock meaningful efficiency gains. With Contract Management already delivering value and Spend Analytics on the horizon, UEA is building a more transparent, data‑driven procurement function, one that’s ready for the regulatory and financial challenges ahead.
